Getting started on S'whales
Follow our Seller Onboarding Guide to set up your account and shop to sell on S’whales.
1. Create your account
1.1. Go to our Seller Sign Up page and fill out your information on the form.
Tips:
- Shop URL: Make sure to choose it wisely as you cannot change it later. Save it in your notes for the Stripe Onboarding.
- Non-mandatory information is not required to sign up, but must be provided later to verify your company.
1.2. Check your emails and click on the verification link we have sent you to verify your email address.
Don’t see the email?
- Verify that it did not end up in your spam folder.
- Still don’t see it? Try to log in with the same email address. You will get an error message and will be able to resend the email.
2. Set up your store
Once you click on the verification link, you will be redirected to our Seller Setup Wizard, which will help you get started.
You can skip the wizard if you prefer to set up your store later via your Seller Dashboard > Settings > Store.
2.1. Verify that the information you see is correct (address and certifications).
2.2. Add your store category.
2.3. Click on the “Continue” button.
3. Secure your payments with Stripe
You must create a Stripe Express account with S’whales to receive automatic payouts and secure your payments.
If you do not follow the Seller Setup Wizard, go to your Seller Dashboard > Settings > Payment to connect to Stripe.
3.1. Click on the “Connect with Stripe” button to start the Stripe onboarding.
3.2. Follow the Stripe onboarding process.
Note: When they ask you for your website URL, provide your S’whales shop url which you previously saved in your notes.
3.3. Click on the “Continue” button.
4. Verify your company
You must verify your identity and your company to sell on S’whales.
4.1. Upload your document proofs in the Seller Setup Wizard or in your Seller Dashboard > Settings > Verification:
- Verify your ID: Upload a scanned copy or photo of your valid passport or national ID card.
- Verify your company address:
– Double-check that all address fields are filled out accurately and attach a document with the same address.
– Accepted documents are utility bills, bank statements, and any government or tax letters.
– Make sure the document was issued within the last 3 months.
Note: if you need to change the address, go to your Seller Dashboard > Settings > Shop - Verify your company registration:
– Upload a document with your company registration number, the one you added in your Store Settings.
– Accepted documents include registration certificates, tax documents, and any government letter.
– Make sure the document was issued within the last 3 months.
Once you have uploaded all the documents in the Seller Setup Wizard, click on the “Continue” button. Then, click on “Go to your Seller Dashboard” button to continue the onboarding.
4.2. If you did not provide all the information in the sign up form, you need to go to your Seller Dashboard > Settings > Shop and fill in your:
- Company name
- Company registration number (KVK, SIREN or Enterprise Number according to your company’s country location)
- VAT number
5. Verify your certifications
You must verify your certifications to sell on S’whales and to display them on your shop and products.
Upload your certificates in your Seller Dashboard > Settings > Certifications:
- You will see which certifications you have registered on S’whales.
- Select the option “→ Onboarding Verification” in the form.
- Select which certification(s) you are verifying.
- Upload a scanned copy or photo of each certificate for the certifications your company holds.
Note: You can verify all your certifications in one go by uploading several documents.
Once your company and certifications are verified, you will receive a notification from us. If something goes wrong or is missing, we will provide you with detailed information so you can complete the verification process.
6. Set up your shipping & delivery time
6.1. Go to your Seller Dashboard > Settings > Shipping: You must ship to Belgium, France, and The Netherlands to sell on S’whales.
- You need to add at least one shipping method for each country by clicking on the “Add Shipping Method” or “Edit” button.
- You have the choice between 3 options: flat rate, free shipping, or table rate.
Each method has different options that we invite you to explore for now. We’re currently working on a dedicated Shipping & Delivery Time guide to help you configure your settings according to your needs. Thanks for your patience 🙌
Bug report: We have some issues with French & Dutch, so you might only see these settings in English. We’re working on it.
6.2. Go to your Seller Dashboard > Settings > Delivery Time to customise:
- Your delivery blocked buffer time: by default customers can select a delivery date 2 days after the date of the order.
- Your time slot: by default, you have 240 minutes set up resulting in 2 time slots from 9am to 2pm and 2pm to 7pm.
- Orders per slot: this is the maximum number of orders that you can process per slot. By default, you have 0, which results in an unlimited number of orders per slot.
- Delivery days & hours: by default, your shop delivers from Monday to Saturday, from 9 am to 7 pm.

7. Personalise your online store
Go to your Seller Dashboard > Settings > Store to personalise your store & manage your company details.
- Upload a banner for your shop. The banner image size is 1600×400 pixels.
- Upload a profile picture for your shop. The profile picture size is 150×150 pixels.
- You can modify your store name, but note that the URL of your shop will not change.
- Select your store category if you did not follow the Seller Setup Wizard. It will be displayed on your shop.
- Add your phone number.
- You can modify your default store address if needed, but you will have to restart the company address verification process for the new address. Note that only the city and country of your company will be displayed on your shop.
- Your company details must be filled in to verify your company.
- Add a biography to your shop, which will be displayed in the “About Us” section.
- If you select the “Enable Support” option, any S’whales user will be able to contact you directly via the “Get Support” button that will appear at the top and bottom of your shop
8. Subscribe to your S’whales pack
Once you have been fully verified and have customised your online shop, it’s time to select your S’whales pack.
Go to your Seller Dashboard > Your S’whales Pack and purchase the pack you want. Need help choosing? Get a full overview of our packs’ features here.
After that, you are ready to add your products and start selling on the S’whales Sustainable Marketplace.
9. Extra - Add your return policy
By default, your shop offers a 14-day warranty, which is the minimum required period to comply with Dutch law.
There is also a mention that the return shipping costs are covered by the customer.
Go to your Seller Dashboard > Settings > Return Policy to customise your return & warranty policy.
- You can change the default 14-day warranty to a longer period, or even offer a lifetime guarantee.
- You can add details to your return policy, such as the cost. However, if you modify the default return policy text, you must specify who is responsible for the return shipping costs, as the default mention will be replaced.
